General Info for Planners & Calendars

ORDERING INFORMATION
Orders can be sent via mail, express carrier, fax or email. Phone orders cannot be accepted. Orders should specify:
• Item Number and Quantity      • Requested Ship Date
• Imprint Color, Size, Position   • Shipping Method

ACKNOWLEDGEMENTS
Every order is acknowledged in writing. Please review carefully and contact us immediately with discrepancies. If acknowledgement is not received within two days, please call to verify. Any changes made after order acknowledgement must be confirmed in writing and may incur additional charges or production time.

PAYMENT/CREDIT POLICY
For new accounts, a credit application must accompany your order. In some instances, it may be necessary for new orders to be pre-paid. Orders will not ship without credit approval or prepayment. We accept Visa and MasterCard . Deposit may also be required on large quantity import products.

PRODUCTION TIME
Please see each product section for details. Due to potential seasonal rush, production schedules may vary. Ship date is scheduled AFTER final artwork approval. Ship date for orders not required to meet specific dates are approximate and all efforts will be made to maintain these dates. Merchandise manufactured must be accepted whether or not these dates are maintained.

RUSH SERVICE
Minimum $100.00 (g) applies to all rush orders. Charges depend on product, quantity and production schedule. Please call for pricing.

SHIPPING
F.O.B. Brea, CA (Southern California)
Method of Shipping: UPS Ground or Common Carrier For better service, please specify in-hands date deadline and requested shipping method. As it is common for Pacific Western Sales to ship early, we reserve the right to determine the appropriate shipping method to meet your deadline.
Shipping Weight: Weights listed in our catalog are approximate weight per box. Pacific Western Sales cannot be responsible for differences in actual freight versus quoted freight charges.
Special Freight Fees: Inside delivery, residential, redelivery, COD, international, Alaska, Hawaii and Puerto Rico incur additional shipping fees. Pacific Western Sales reserves the right to submit supplemental invoices after the original invoice has been issued. Freight and duty must be charged on your freight account.
Drop/Split Shipments: $20.00 (a) per destination on shipments going to more than one location; full case only. Drop shipments may not be available on all items. Maximum 10 locations. For 10+ locations, please call for quote.
Special Packaging: $8.00 (a) per box, not available on all items.
UPS Shipments: $5.00 (g) handling charge per carton if UPS is requested on large quantity shipment where otherwise factory will ship via common carrier on pallets.

CHANGES AND CANCELLATIONS
Changes and cancellations must be mailed or faxed in writing. All cancellations requested after order acknowledgement will incur minimum $40.00 (a) plus charges for the work completed at the time of cancellation, including artwork, plate, material and labor costs. Artwork review time incurred on custom products will incur graphic charge.

CLAIMS
Claims must be settled within 30 days of invoice date. Once shipments are picked up, the carrier assumes full responsibility for delivery of the order. If shipment arrives damaged or delayed, all claims must be filed with carrier.

ARTWORK INFORMATION

IMPORTANT: Please include distributor name, contact person, phone number and P.O.# with your artwork to help us match orders with the correct artwork. Final art dimension will be determined after reviewing the art.

ARTWORK REQUIREMENTS
Black & White Camera-Ready (Hard-Copy Art for One or more Spot Colors)
• One Color Camera Ready art must be black and white, clean, sharp, 100% in size, and printed at 100 lpi minimum. (lpi=Lines Per Inch)*
• More than one color Camera Ready art must be black and white, 100% in size, color separated, registered and adjusted for tolerance if it contains tight registration.*
• Negatives must be clean, scratch-free, and 100% in size.*
* Enlargement and Reduction in size, or any other modifications, will entail an artwork charge.

Digital File Artwork
(Computer generated artwork for One or more Spot Colors)
• Macintosh supported graphics files are preferred.
• Artwork requirements for 1 or more Spot Colors and 4-Color Processes are the following;

True Vector Artwork:
Art CREATED in Adobe Illustrator and saved as an EPS or AI format,
Art CREATED in Freehand and saved as an EPS file,
Art CREATED in Quark and saved as an EPS file only,
Art CREATED in Corel Draw and saved as an Illustrator - AI file.
For all vector art, all fonts/text must be outlined (also known as: converted into paths or converted into curves).

Pixel based Artwork files:
One Color jobs, black and white preferred, art at 100% size saved at a minimum of 600 dpi as a PSD, TIFF, or JPEG file.

CMYK/4-Color Process jobs, send a CD if file is over 25MB, art at 100% size saved at a minimum of 300 dpi as a PSD, TIFF, or JPEG file. All pixel based file fonts must be flattened.

• Linked files/Extensions, we need a copy of every file used in the creation of a document, i.e., Fonts, EPS, TIFF, JPEG, PSD, AI files, ect,.
• Always provide a hard copy of art either by fax or mail for accuracy checks.
• On multi color-artwork, please provide a composite file indicating color breakdown/separation.
• File storage: 3.5" Zip Diskettes and CD's.
• Programs from which files are accepted:
Adobe Illustrator (up to CS3 (version 13), fonts Outlined) Adobe Photoshop (up to CS3 (version 10), fonts Flattened) Quark (up to version 6, saved as an eps file only, fonts Outlined) Macromedia Freehand (up to version 10, saved as an eps file only, convert text to Paths) Corel Draw (up to version 11, saved as an AI file only, convert text to Curves)

• Up to 7MB
• Files larger than 7MB or multiple files should be compressed or sumitted in a CD or other storage media.
• Fax copy of artwork with purchase order.
• Note: this email is for receving art only. Please contact a customer service representative for all other inquiries.

Any touch up work will incur artwork charges. Unacceptable artwork includes but not limited to: photocopies, faxed art, printed letterhead, business cards, photographs, and stationery. Sending unacceptable artwork will incur artwork charges.

ARTWORK CHARGES
Artwork requiring touch up, alteration, resizing or typesetting will incur a minimum graphic charge of $40.00(g) or $75.00(g) per hour. Halftones/Photo Reproduction is $25(g) plus any addtional artwork charges

SETUP CHARGES
A one time setup charge per color is required on all new orders or repeats with art changes. There is no plate charge on exact reorders within the past 2 years.

SPECIAL NOTES
• Product dimensions, colors and other features may vary slightly within acceptable industry standards.
• Products and logos shown in this catalog are intended ONLY to illustrate the basic products and options, not to suggest that the imprints are readily available for any purchase without the permission from the owners of the trademark, copy right or logo.
• All artwork submitted is assumed to be in full compliance with the laws governing copyright, trademark, etc. Purchasers, by placing orders, agree to hold full responsibility for any damage, costs and/or expenses resulting from the use of artwork.

CALENDARS

PRODUCTION TIME
Stock

3-4 weeks after proof approval. Orders with calendar insertion will require additional production time. Calendars will be invoiced upon order completion. Warehousing available at no additional charge.
Please specify one of the following ship date:
7/1, 8/1, 9/1, 9/15, 10/1, 10/15, 11/1, 11/15, 12/1, 12/15
Once order is in storage, order will ship on date requested on P.O. To change release date or remove calendar from storage, $25(g)
warehousing charge will be invoiced. To insure pre-holiday delivery, complete orders must be received no later than 10/31/07.
Custom
6-8 weeks after the receipt of final art approval.

EARLY ORDER PRICING
Orders post marked on or before 5/31/07 will qualify for early order discount pricing. Incomplete orders will be put on hold until 6/30/07; thereafter, normal pricing applies.

REPEAT ORDERS
When placing repeat order, please specify previous order acknowledgement number on purchase order. Standard setup waived on exact repeat order with no changes. Changed artwork is considered new order and all charges apply accordingly.

OVERRUN / UNDERRUN
All orders are subject to 5% overrun or underrun. If no overrun is requested, please add 10% to price.

MINIMUMS
Stock
Available in quantity no less than one half of the minimum quantity with a $35(g) less-than-minimum charge. Absolute minimum on desk calendars. Titles within the same calendar type may be combined for quantity price break, with no less than 200 per title.
Custom
Wall Calendars - 1,000 pieces
Desk Calendars - 2,000 pieces
CD Calendars - 1,000 pieces

CO-OP PROGRAM
Co-op programs can be established using either stock or custom products. All ad copy must have a common logo. All orders are subject to a copy change charge and drop shipment charge as stated in this catalog. Accessories and options are at standard catalog pricing. Minimum catalog quantity applies per copy change.

ENVELOPE PRINTING
Add $20(g) setup charge plus $0.10(g) each running charge for one color black imprinting. Black only, other colors not available.

IMPRINT COLORS
Each calendar or planner order includes a standard one-color imprint as listed on each product page. For calendars, you may choose any one of the optional imprint colors shown below with a wash-up charge of $15(g).

PMS* colors available at $90(g) per color. For multiple color printing, please refer to individual calendar page for detail.

For CCL100s, CCL200s, CCL300s: 4-color process artwork (photo image) may be printed on calendars with $100(g) setup plus $0.30(g) running charge. Must supply minimum 300 dpi high-resolution digital file. Only available before 10/31/06. Minium 500 calendars.

* Note: We will try to match your PMS color as close to your requested color as possible. Different paper stock and texture may produce variation of colors when printing.

PROOFS AND MOCK-UPS
One fax or email proof is submitted free of charge, which must be signed off and returned before production begins. Proofs are corrected once at no charge. Liability for accuracy of printed material ends with the customer’s approval. If proof is not returned within 30 days, the order will be cancelled and cacellation & artwork charges will be invoiced.
• Additional fax or email proof: $5(g) each
• Inkjet color proof: $25(g) per page
• For custom calendar, please call for detail on available proofs and pricing.

PLANERS

PRODUCTION TIME
• Plain stock 10 days
• Hot Stamp/Embossed stock 3-4 weeks after proof approval
• Custom insert pages 5-6 weeks after proof approval
• Complete Custom 8-10 weeks after proof approval
Every effort will be made to achieve the above lead times. However lead time cannot be guaranteed and may vary in the peak season.

We reserve the right to change price, paper stock, size and format of calendars without notice. All sizes in this catalog have been rounded to the nearest quarter inch.
